Pennsylvania Convention Center Citywide Auction Package Terms & Conditions

  • Philadelphia CVB agrees, subject to availability, to donate convention services and space at the Pennsylvania Convention Center from among its exhibit halls, meeting rooms, or ballroom for such auction, valued at over $1,000,000, as outlined below.
  • Citywide Package and Convention Center Space will be auctioned for one year between 2015 and 2025 at a starting bid of $75,000 with bid increments of $10,000, and will also offer a Buy Now option of $125,000 (by which will close the auction immediately).
  • The Auction will close November 30, 2014 at 5:00 P.M. CST and will be awarded to the highest bidder, so long as the “Buy Now” option has not been previously exercised and the auction closed.
  • The winning bidder will receive  the following auction benefits package:
    • 528,000 continuous gross square feet of exhibit and meeting space for up to 10 days
    • $100,000 convention center credit towards show management expenses.
    • The following benefits from SMG, the convention venue management group managing the Pennsylvania Convention Center:
      • 20% discount on ARAMARK food and beverage
      • 25% discount on AV needs
      • 25% discount on Internet access
      • $10,000 towards attendee marketing efforts
    • Additional Restaurant and F&B package including:
      • City-sponsored exhibitors lounge on the show floor
      • Ten (10) $100 restaurant gift certificates to top Philadelphia restaurants
      • Complimentary vendor dinner for up to 20 persons
      • Complimentary board dinner hosted at one of Philadelphia’s celebrated restaurants
      • Complimentary lunches over four days for up to 25 show management staff
    • 25% off Average Definite Group Rates in month and year of convention at participating hotels, including:
      • Complimentary WiFi in guest rooms and public areas
      • One complimentary room for every 40 paid rooms
    • Education, Entertainment, and Arts package including:
      • Board retreat for up to 15 people led by Decision Strategies International/University of Pennsylvania’s Wharton School
      • Discounts on special event rentals at the National Constitution Center, Philadelphia Museum of Art, Barnes Foundation, Pennsylvania Academy of the Fine Arts, Franklin Institute or on City Hall’s new Dilworth Plaza.
      • Team-building Mural Arts program for up to 15 board/staff members
      • VIP tickets for your board to the Barnes Foundation, home to the world’s largest private collection of Impressionist art
      • Behind –the-scenes access to iconic museums for your board
      • Philadelphia-themed entertainment at your General Session or Exhibit Opening
      • Custom VIP Passes for all of your attendees, including discounts at restaurants, shopping and attractions
    • Special $10,000 donation to our foundation or a charity of your choice
  • The Citywide Auction shall be open to PCMA members and non-members.
  • The successful bidder shall be required to complete Letter of Confirmation or enter into a standard license or lease agreement with the Philadelphia CVB/Pennsylvania Convention Center to use the Convention Center Space.
  • If all or any part of the Convention Center is rendered unusable, or if holding any event therein would otherwise be rendered commercially impracticable by reason of acts of God, strikes against third parties, civil disorder, terrorism or acts of war, governmental directive, or any reason beyond the control of Philadelphia CVB/Pennsylvania Convention Center, Philadelphia CVB/Pennsylvania Convention Center shall be under no obligation to provide the Convention Center Space, and Philadelphia CVB/Pennsylvania Convention Center shall not be liable for any loss or damage suffered by any other party.
  • The winning bidder would be required to contract a minimum of 2,000 rooms on peak night for a minimum of three nights, based upon availability over the dates; terms of hotel contracts will be negotiated between the client and the hotels with assistance from the Philadelphia CVB.
  • Bidder acknowledges they have completed “Check Your Dates” form and received approval from both Philadelphia CVB and PCMA confirming space availability prior to bidding.
  • Upon confirmation of space availability and acceptance of bidder’s “Check Your Dates” form, Philadelphia CVB/Pennsylvania Convention Center will place a hold on the requested dates/space.  Philadelphia CVB/Pennsylvania Convention Center will not take any space out of inventory until final confirmation of availability, acceptance of “Check Your Dates” form, and receipt of Winning Bid/Buy Now received by PCMA and Philadelphia CVB/Pennsylvania Convention Center. 
  • By entering a bid, the bidder warrants that s/he has full authority to do so on behalf of his/her organization.
  • The bidder acknowledges that all bids are final and that no refunds will be issued.
  • All bids are in U.S. dollars.
  • Bids placed on existing business will not be qualified or accepted for this auction; bids placed on tentative business however will be accepted.  By placing a Bid you are confirming your meeting for Philadelphia CVB/Pennsylvania Convention Center.
  • Bids placed on existing business, or business already negotiated and held by the Philadelphia CVB/Pennsylvania Convention Center will not be accepted.  By placing a Bid you are confirming your meeting for the Philadelphia CVB/Pennsylvania Convention Center.
  • All bids and bidders must comply with all bidding terms and conditions, including minimum bid and minimum bid increase increments.  Bids and bidders not in compliance will be disqualified.
  • By entering a bid, the bidder warrants that s/he has full authority to do so on behalf of his/her organization.
  • The bidder acknowledges that all bids are final and that no refunds will be issued.
  • The bidder acknowledges that the Philadelphia CVB/Pennsylvania Convention Center is the provider of the convention center and is responsible for the fulfillment of the obligations.
  • Winning bidder will be required to execute a contract with and release of liability for PCMA within 30 days of the auction close, including payment terms to PCMA.
  • PCMA will require a 25% deposit to confirm each final winning bid upon auction close November 30, 2014. The remaining balance will be required in two equal installments on July 1, 2015 and January 1, 2016 or prior to the event occurring, whichever is first.
  • Bidders are advised that no part of the bid may be deductible as a charitable contribution, but is likely deductible as an ordinary business expense if paid as part of a trade or business. Bidders are advised to consult with their tax or legal advisors for further details.
